The City is currently recruiting for a part-time, temporary, seasonal (PTS) employee to provide a wide range of clerical support for the Community Preservation Division. This position is responsible for performing general clerical work, including answering telephones, providing customer service to the public, and other clerical duties as assigned.
This position may work up to 20-25 hours per week and hours are based on the needs of the division. The final candidate must be available to work up to three 8-hour shifts per week from 8:00 a.m. – 5:00 p.m.
DUTIES AND RESPONSIBILITIES:
- Provide clerical support for employees in the Community Preservation Division, including answering incoming phone calls for the division; receiving, sorting, and processing mail; maintaining calendars; and scheduling and setting-up for meetings
- Assist the public by answering questions via phone, email, and in-person, providing information, and directing inquiries to appropriate staff as necessary
- Input public requests into digital database
- Provides typing, proofreading, and editing of a variety of documents and reports including letters, memorandums, and email responses from the City to the public
- Respond to public records requests in compliance with the California Public Records Act (CPRA)
- Generate a variety of reports, spreadsheets, databases, and enforcement maps using multiple computer applications and software including Microsoft Word, Excel, Outlook, Laserfiche, Accela, Infolinx, and GoGov
- Maintain files of correspondence, forms, reports and other materials; scan and index documents for electronic storage
- Perform data entry of complaints and requests and creates code enforcement cases using various computer programs
- Perform other duties and responsibilities, as needed
- High School Diploma or a GED equivalent
- One year of clerical support experience in a fast-paced, professional, and customer-service oriented environment
- Bilingual in English and Spanish is highly desirable
- Excellent communication skills; knowledge of basic math, business English, spelling, and strong understanding of grammar and punctuation rules; and the ability to correctly proofread and edit correspondence
- Strong computer skills and proficient in Microsoft Outlook, Word, and Excel
- Ability to understand, interpret, and explain City and department policies, regulations, and procedures to others
- Ability to provide excellent customer service to staff and the public including the ability to handle conflicts and complaints
- Strong interpersonal skills and the ability to develop and maintain effective working relationships with employees, managers, and outside agencies
- Knowledge of clerical and office practices and procedures
- Ability to manage time effectively, coordinate multiple projects simultaneously, work in an environment with constant interruptions, consistently meet deadlines, and be flexible to changing priorities
- Ability to demonstrate professionalism and sound judgment
- The ability to lift, drag, and push files, paper, and documents weighing up to 25 pounds

In addition, part-time, temporary, and seasonal (PTS) employees may be required to participate in the DMV Employer Pull-Notice Program. This program authorizes the City to receive a driver record report upon enrollment and during employment.
Part-time, temporary, and seasonal (PTS) workers are at-will. Generally, PTS employees are limited to no more than 999 hours per fiscal year.
